Purchase Order Policy for Event Registration

1. No Requisitions for Payment: Please note that we do not accept requisitions for purchase orders as a form of payment. A valid purchase order form must be provided as outlined in this policy.

2. Approval Time for Requisitions: Approval for requisitions can take up to 60 days and varies per district. Please allow ample time for your district to approve requisitions before the registration cutoff dates. We cannot extend any deadlines once the registration cutoff has been reached.

3. Purchase Order and Invoice Process: An invoice cannot be issued without a corresponding purchase order form. It is important to submit the purchase order in advance to ensure proper documentation.

4. Account Creation Requirement: All attendees must create a CAHPERD account if they do not already have an existing account. This account will be required for registration purposes.

5. Complete Registration Forms: It is mandatory that all registration forms are filled out in their entirety. Please include attendee information, not district information. Incomplete forms may delay processing and registration.

6. Registration Selection: To ensure efficient processing, we recommend submitting purchase orders using the on-site registration rate. While we will honor Pre-Registration rates if indicated on the purchase order or submitted by deadlines, selecting the on-site rate initially helps prevent delays caused by potential pricing discrepancies.

7. Registration Rate Definitions:

 Pre-Registration – Registered by September 14

 On-Site Registration – After September 14: After September 14, all purchase order submissions must reflect the onsite pricing.

Note: Discounted & Member rates are available exclusively to new and existing CAHPERD members with active membership through 10/31/2026; memberships expiring prior to this date must be renewed to qualify.

8. Post Pre-Registration: After September 14, purchase orders will still be accepted electronically; however, all registrations will be charged at the onsite rate. Attendees must check in at the onsite registration table to verify their registration and receive a printed badge. Bringing a copy of the registration form and purchase order is strongly recommended.

Invoices for purchase orders submitted after September 14 will be issued approximately 2–3 weeks after the conference

9. Electronic Purchase Orders Only: All pre-registration purchase orders must be submitted via our Google Form. We no longer accept purchase orders submitted via email, fax, or mail. Please ensure that your purchase order is submitted through the designated electronic process.

10. Payment Terms: By submitting a purchase order to CAHPERD, the buyer agrees to remit full payment within 30 days of the invoice date, unless otherwise stated in a separate agreement. Payments by check should be made payable to CAHPERD and mailed to: 1501 El Camino Avenue, Suite 3, Sacramento, CA 95815

11. Unpaid Balances: If your school or district has an outstanding balance from a previous conference, CAHPERD will be unable to process any new purchase orders until the prior balance has been resolved. Please note that outstanding balances related to the current 2026 NAPEC are acceptable and do not affect the processing of purchase orders.

CAHPERD Conference Registration Notice & Liability Waiver

By registering for this event, you acknowledge and agree to the following terms:

Liability Waiver & Assumption of Risk
By registering, you agree to hold harmless CAHPERD and CAHPERD groups, the conference venue and/or hotel, and any speakers or attendees participating in the event from any and all liability or damages that may arise from your participation. You understand that CAHPERD and the host facility assume no responsibility for the loss or damage to any person or property.

You affirm that you are 18 years of age or older and that your participation is voluntary and intentional. You acknowledge that certain event activities may involve physical activity, and you accept full responsibility for any risk of injury or loss. You, your heirs, successors, assigns, and representatives hereby waive all rights of subrogation and fully release, discharge, indemnify, and hold harmless CAHPERD, its officers, directors, employees, representatives, event affiliates, and the event venue, including their insurers, from any and all claims, liabilities, damages, demands, suits, or causes of action related to your participation—including, but not limited to, injury, damage, death, or other losses.

Photography & Media Release
By registering, you grant CAHPERD and event organizers permission to take photographs, video, and/or screenshots during the event. These materials may be used for promotional and informational purposes on CAHPERD’s website, social media, printed materials, and other communication platforms.

Children at the Conference
Due to legal and professional considerations, children are not permitted at the conference unless they are part of an official scheduled program or activity.

If you are not able to register online and must use a paper registration form = Download Registration Form. Schools or agencies submitting registrations by mail must include payment (check or credit card) along with a completed registration form for each participant. Mailed registrations must be postmarked by September 14. After this date, on-site registration will be required.
