Booth and Sponsorship Information

All event pricing is listed within each registration option. Please note that all booths must be staffed during all posted exhibit hours.

Organizations may register as exhibitors or sponsors. Sponsors receive enhanced benefits.

Each exhibiting organization may register up to two (2) booth representatives. Changes to representative names made after September 14, 2026, will be subject to a $25 processing fee. No changes will be accepted after October 5, 2026.

Please note that any booth representative listed as a presenter will be identified as an exhibitor in the conference program, even if their presentation is unrelated to your organization’s exhibit. All approved presentations will be listed under your organization’s name for the duration of the conference.

Sponsorship Packages

Sponsorship includes a booth and offers high visibility along with added promotional benefits.

Proposals will be reviewed in the order received and are subject to approval. This is a valuable opportunity to showcase your organization’s expertise and engage directly with attendees.

Exhibitor Options

You may choose to exhibit without becoming a sponsor.

Commercial Exhibitor Booths
Organizations intending to sell products, accept orders, or conduct business transactions either on-site or online are considered commercial exhibitors. These exhibitors receive priority booth placement over educational or nonprofit organizations. Commercial entities may register as sponsors (which includes a booth) or as non-sponsor exhibitors.

Educational/Non-Profit Exhibitor Booths
Colleges, universities, or other accredited institutions sharing information about educational programs or opportunities may register under the educational exhibitor category. These groups can also choose between sponsor or non-sponsor registration.

Organizations officially recognized as nonprofits (501(c)3 or similar) may exhibit in this category to share free information and resources. No sales or order-taking is permitted at nonprofit booths. Proof of nonprofit status must be emailed to [email protected]. Nonprofits may also register as sponsors (which includes a booth) or as non-sponsor exhibitors.


 

 

Exhibit Hall Information

Booth Assignments
Exhibitor booths will be assigned by CAHPERD on a first-come, first-paid basis. Early registration is encouraged to secure your preferred space. Diamond Sponsors are provided the opportunity to select their booth location. 

Setup Details

Tentative booth setup is scheduled for Thursday afternoon, October 22. This timing is subject to change, as final logistics are still being finalised. Full setup instructions will be shared in advance.

Reminder: Setup to begin an hour before the time listed and takedown within the after after the time listed. Exhibits must be broken down and stored in a locked and secure room until setup exhibit hours

Thursday, October 22 | 2:00 PM – 5:00 PM

Friday, October 23 | 9:00 AM – 5:00 PM

Saturday, October 24 | 8:00 AM – 1:00 PM 

What’s Included with Each Booth

Conference Cancellation & Refund Policy

To cancel your participation, you must submit a completed NAPEC Refund Request form.

  • On or before August 17, 2026: Cancellations will incur a $75 cancellation fee.
  • August 18, 2026 – September 14, 2026: Cancellations will incur a 50% cancellation fee.
  • September 15, 2026 – October 21, 2026: Cancellations will incur a 75% cancellation fee.
  • After October 21, 2026: No refunds will be issued for cancellations received after this date or for no-shows.
  •  
    If the event is cancelled or interrupted due to emergencies, disasters, or other circumstances beyond CAHPERD's control, CAHPERD may cancel this contract. In that case, exhibitors will receive a refund of their booth fees only, with no claims for other damages.

     

    Terms and Conditions of Participation

    By registering for this event, you acknowledge and agree that you're 18 years or older and your participation in the events by your own free and intentional act, and are fully aware that possible physical injury might occur as a result of your participation in the events. By registering for this event, you acknowledge and agree participation in these events that you, your successors in interest, heirs, assigns, and representatives, hereby waive all rights of subrogation and fully release, waive, discharge, indemnify, and hold harmless CAHPERD and any associated group, officer, directors, employees, and representatives, and location of the event together with their insurers, from any and all claims, labilities, damages, demands, suits or causes of action which are in any way connected with your participation in the events, including for any injury, damage, death, or other loss. 

    By registering for this event, you acknowledge and agree that CAHPERD or anyone with the event organization may take photographs, screenshots, or video during the events for reproduction use that may include social media, website, print, or other electronic media.
